
I mentioned something in a previous post about "whatever contract management system you use." Then I started to think about it further. Do all Procurement departments use some kind of a contract management system to help keep track of when contracts expire and who is responsible for them in the corporations?
I have worked in companies with very formal systems, the kind that require passwords and that can store scanned copies of the contracts, which eliminates the trip to the file cabinet/missing file syndrome. The system would also generate reports for the department heads for monitoring and follow up to see where Buyers stood on their contracts.
I have also implemented a no-cost, more grass roots approach in which I created spreadsheets and e-mail reminders. Frankly, that worked just as well and didn't require any software support from a help desk! I worked it out with the manager that the e-mail reminders would also be sent to her so she was always kept apprised of what state any particular renewal was in and could ask if she needed an update for a meeting with her bosses.
